Need help during tournament?

Ask any LOC volunteer (look for Rugbymania T-shirts “ALWAYS SPECIAL”)  and check the WhatsApp Group for updates.

Accessibility & Equipment

Both hotels provide wheelchair-accessible rooms and facilities.
Use hotel storage for sport chairs and large bags when not in use (follow staff directions).
Wheelchair Rooms – each team has one – use the team Room – if necessary. 

At the venue - Accessible restrooms are located in front of the sports hall.

  • Please submit your lists of participants with ID information in advance to ensure a smooth and fast check-in.

  • Label any equipment cases/wheel bags with Team Name for hotel storage.

Please note that all minibar charges at both hotels (and any other in-room extras) are the responsibility of individual guests. These costs are not covered by the LOC and will be settled directly at the hotel by the person assigned to the room.

Meals

Breakfast: Served at your hotel 6:30 – 10:00 
Lunch: Provided at the gym/venue (baguette service – you will get boxes to your changing area).
Dinner: According to the team plan / tournament schedule (details will be provided).

Water provided – any other drinks must be covered by individual guests.

Arrivals - Airport information 

Schedule: We will circulate the schedule shortly by WhatsApp Group. In a few places we’ve grouped teams to make smooth transport logistics.

Airport arrivals: Our transport coordinator will be at the airport during team arrivals to assist with transfers. Look for the “Rugbymania” sign.

Baggage & equipment labelling (mandatory): Please label all bags, wheelchairs and wheel bags clearly—ideally with your Team Name and country.

Use sturdy tags/tape; mark outside the bag.

If anything changes with your arrival plans, let us know immediately so we can adjust transfers. Thank you!

Václav Havel Airport Prague – Quick Tip for Teams

The airport has 2 terminals:

Terminal 1 → Non-Schengen arrivals/departures (e.g., UK, USA, Canada, etc.)
Terminal 2 → Schengen arrivals/departures (most EU countries)

Meeting point: There will be one Rugbymania transport coordinator when big groups arriving (look for the “Rugbymania” sign).

Label everything: Please label bags, wheelchairs, and wheel bags with your Team Name to speed up loading.

If your flight changes terminals, inform the LOC immediately so we can redirect your pickup.

Ceremonies & Closing Night 

Saturday Awards & Transfers

On-court awards (placements): Saturday at the venue (hall).
We’ll announce final standings and present team trophies on court right after final game. 

Transfer to Clarion Congress (all teams): After the hall ceremony, everyone moves to Clarion Congress Hotel for the closing evening.

Pre-ceremony freshen-up (Hotel Duo teams)

We will run shuttles Duo ↔ Clarion before the evening so players can shower and get ready.
We will confirm pick-up times for your team; please be on time to keep the flow smooth.

Closing evening at Clarion

Shared dinner for all teams + individual awards.

Photo booth (Smybox) and DJ.
Dress code: team wear / smart casual (whatever’s comfortable post-game).

Hotel Duo late shuttles (after party)
Departures to Hotel Duo – there will be shuttle from 22:00 till 01:00.

Please gather in the designated lobby pick-up zone 10 minutes before each departure.

Equipment & sport chairs

Please prepare your sport chairs for transport back to your hotel immediately after your last game.

Label clearly (Team Name + flight date/time) so concierge can stage chairs correctly for departure.
Teams must perform a final equipment check with the LOC before leaving the hall.

Quick reminders

  • Mark all bags/wheelchairs/wheel bags with your Team Name.

  • Any changes to your Sunday/Monday flight time → tell the transport liaison immediately – Jana / Anna.

Mandatory Consents & Acknowledgements

By participating in Rugbymania 2025, each team and its members confirm the following:

Voluntary participation & own risk
All participants take part voluntarily and at their own risk. The LOC and venue accept no liability for injuries, losses, or property damage beyond statutory obligations.

Insurance responsibility
The Team Manager is responsible for ensuring that all team members are properly insured (health, travel, liability, equipment) for the duration of the event, including training, games, transfers, and hotel stays.

Media consent
All participants agree that their photos, videos, and livestream footage taken during the event may be captured, used, and publicly shared (web, social media, press, broadcasts, and event materials) without additional compensation.

Transport

Venue

Be kind to each other & the court. Please be considerate to other teams, staff, and volunteers. Treat the playing surface with care so we can use it again next year! Sport chairs are for hall use only – no rolling into the restaurant or lobby!

Changing area

Each team has a designated changing area – open space!
Keep your area tidy throughout the day and remove waste regularly!

Lifts & safety

When lifting players, always use a lifting mat/pad.

Water & hydration

Drinking water (barrels/coolers) will be available and tap water is suitable for drinking - bring your refillable bottles.

Accessible toilets

Accessible toilets are located in front of the venue.

Meals & chill zone

Lunch will be provided in the form of baguettes.
Seating is available in the restaurant and the Chill Zone (clearly marked).

Please do not enter these spaces in sport chairs.

Livestream & media

All games will be streamed. Links and schedule will be shared via the team WhatsApp group and posted on the info board.

Commentary will be provided – one court in English and one in Czech.
